A note for English-speaking readers

Prom.ua is a marketplace on the Ukrainian market. This page shows how the exchange between QUINCEFIN and a trading platform is built: orders, catalogue, prices and stock. The same mechanism is used for the other sales channels the platform works with.

How the integration works

Five steps from creating the profile to synchronised stock on the platform.

Create an integration profile

The profile lives in Settings / Integrations / Marketplaces. Name the card and enter the API key you take from the Prom.ua settings under "API token management". Then run "Check connection" and hit "Apply".

Configure order import

In the "Orders" tab you set the period, the QUINCEFIN user whose warehouse, business segment and price type go into the document, the folders for new products and partners, and a shared comment for the orders.

Load the orders into your books

The "Export" button pulls in the orders for the selected period. Documents arrive as drafts and stay editable; once posted, sales documents and cash receipts are created on top of them.

Send the catalogue and prices to the platform

In the "Products" tab you pick the price type, how stock is reported — across all warehouses, for one warehouse or folder, or not at all — and exactly what the platform should see: products, services or everything together.

Sync stock from a single warehouse

In the "Stock upload" tab you pull the product list from the platform and map it to the cards in QUINCEFIN. Reserved quantities from orders can be taken into account, so only free stock is sent.

The price type, the warehouse used to calculate stock and the "products / services" scope are all set in the integration profile.

What this gives the business

The marketplace runs inside the same loop as your warehouse, sales and finance.

Orders are not re-typed by hand

Orders from the platform become documents in QUINCEFIN for the selected period. Statuses carry over when their names match exactly, and when they do not, new statuses are created in the system automatically.

One warehouse for every sales channel

Stock is calculated inside QUINCEFIN, and the platform receives a ready number. Reserved quantities from orders can be taken into account so only free items are shown.

Prices stay under the control of your books

The price type is chosen in the integration profile, so the platform gets exactly the price list you maintain in the system — no parallel manual list.

The customer base fills itself

New buyers are created as partners in the folder you selected, together with the contact phone and email from the order.

The order is an entry point into accounting

A posted order leads onwards: the next sales and cash receipt documents are created from it, so the marketplace stops being a separate island.

You can see when the last exchange happened

The "Last exchange" field is filled in automatically after every data transfer, so it is always clear how fresh the information is in your books and on the platform.

Frequently asked questions

Do Prom.ua orders have to be entered into the books manually?

No. Orders are loaded from the integration profile: pick a period and press "Export", after which they land in QUINCEFIN as draft documents that stay editable before posting.

What happens if the product or the buyer from the order is not in the system yet?

QUINCEFIN creates them automatically. New products are saved into the folder selected in the profile settings, and new buyers into the partners folder. If no folders are selected, the cards are created without a folder link.

How does current stock reach the platform?

In the "Stock upload" tab you first pull the product list from the platform, then map it to the cards in QUINCEFIN and press "Send stock". Only stock for mapped products is transferred.

Can stock be sent from a single warehouse only?

Yes. The product settings offer three options: do not send stock at all, send it across all warehouses, or send it only for a selected warehouse or a group of warehouses combined into a folder.

What do you need to switch the integration on?

An API key from the "API token management" section in the Prom.ua settings — you can use an existing personal-access token or create a new one. After that you create a profile under Settings / Integrations / Marketplaces, check the connection and save the settings.
