Before Black Friday, a shop owner agrees the offer, a manager prepares the product list, and cashiers need to process sales quickly. Entering a discount by hand for every item makes it easy to miss a product or use the wrong percentage.
QUINCEFIN’s Promotions list brings together the period, discount type and participating goods. Prepare the rule in advance; when a product is added, its discount is selected using the document date.
Example: 20% off accessories for three days
Imagine a shop selling backpacks, bags and accessories. Its offer covers the “Accessories” product folder and one individual backpack. The rest of the assortment follows the usual pricing rules.
For this example, the promotion runs from 27 to 29 November 2026, including both dates. The percentage and duration are illustrative; choose your own values for your offer.
Set up the promotion before sales begin
- Create an active discount type named “Black Friday 20%” with percentage
20. - Open the Promotions list in the service lists within accounting settings and create a promotion.
- In the main tab, enter a name, start date
27.11.2026, end date29.11.2026and the discount type. - In the goods tab, add the Accessories folder. Add the backpack individually or through the product picker.
- Save the promotion and check a draft sale dated within the promotion period.
For a one-day offer, use the same start and end date. Both dates are required, and the end cannot precede the start. Only active discount types from 0 to 100% are allowed; markups and archived types cannot be used.
You do not need to list every product from a folder individually. Goods in the folder and its subfolders are checked dynamically. Moving a product into the folder makes it eligible at the next discount lookup; moving it out ends its participation unless it is also included individually or under another rule. Check the folder’s contents with your team before the sale.
What managers and cashiers see
Promotions apply when goods are added to customer orders, invoices, outgoing invoices and POS receipts. Products can be added through the selector, picker, article code or barcode. A promotion automatically enables discounts in the document.
An accessory with a unit price of 1,000 UAH, before any additional VAT, costs 800 UAH after a 20% discount. A product outside the promotion does not receive that discount merely because it is in the same document.
The document date determines eligibility. A draft dated 26 November is too early, and a new line in a document dated 30 November is outside this promotion.
Existing customer discounts do not stack
QUINCEFIN compares discounts for each line and uses the higher percentage. Several simultaneous promotions are also compared rather than added together.
| Rule for a product priced at 1,000 UAH | Total discount | Price |
|---|---|---|
| Promotion 20%, document discount 10% | 20% | 800 UAH |
| Promotion 20%, document discount 25% | 25% | 750 UAH |
| Promotion 20%, a 10% loyalty card applied in POS | 20% | 800 UAH |
| Promotion 20%, a 25% loyalty card applied in POS | 25% | 750 UAH |
In the last case, the card reduces the price from 800 to 750 UAH. It does not take another 25% off the reduced price, and the total discount is not 45%.
Cancelling the card restores the values before its application, including promotional and manual discounts. Applying an already applied card again does not duplicate the effect. Bonus payments and accruals keep their existing loyalty-program rules.
Be careful with manual agreements in drafts
After changing the document date or discount type, the system asks whether to recalculate:
- Yes recalculates all lines using the current rules, including previously entered manual discounts.
- No keeps existing percentages. Products added afterwards use the current settings.
Opening, saving or posting a document does not trigger a hidden recalculation. Ending or editing a promotion does not rewrite historical sale amounts. Scanning an existing product again increases its quantity and preserves its manual discount.
Three checks before launch
- Check the participating folder and individual products.
- Check the date, line percentage and total in a draft containing both promotional and regular goods.
- Check that a smaller loyalty-card percentage adds no extra discount, while a larger percentage brings the total discount up to that value.
To stop an offer early, mark the saved promotion as archived and save it. For document dates after the end of its period, it no longer participates in the lookup.
Promotions cover goods, not services or packaging. Automatic application through external APIs is outside this mechanism. If the Promotions item is missing, ask your administrator to check access rights and availability in your installed QUINCEFIN version.
