Acquiring and cash-on-delivery payment accounting
Many customer payments. One bank payout. Each payment accounted for.
Import a CSV register, review customer and document allocations, and record provider fees. Reconcile the later bank payout as a transfer, without recording customer payments twice.
Detailed guides are in Ukrainian.
How the amounts reconcile
Illustrative example, not a provider’s rate. Opening balance is zero; no other transactions.
Customer payment
UAH 1,000
Allocate the gross payment to a customer document or advance on a separate provider account.
Provider fee
−UAH 20
Record the fee within the receipt document. UAH 980 remains payable; the customer does not owe the fee.
Bank payout
UAH 980
Transfer from the provider account to the bank: provider balance zero, bank balance UAH 980.
From setup to a reconciled payout
1. Separate the accounts
Create a provider account and a distinct bank account for the same company and currency.
2. Configure the profile
Open Settings → Integrations → Payment systems. Select the account and fee categories on the Client-bank tab. Use CSV-only mode when payment API access is not needed.
3. Review and post payments
Open Money → Client-bank → Payment system register. Select a profile and CSV, check amounts, fees and allocations. Preview alone does not create documents.
4. Reconcile the payout
Select the bank payout and the corresponding posted payments. Verify the payout composition against the provider’s records, not just a matching total. Net payments must exactly equal the bank receipt.
Five providers, one accounting workflow
plata by mono registers are distinct from monobank bank statements. NovaPay COD registers are distinct from NovaPay Business bank connectivity. Do not record the same payment through two channels.
Before importing
- Register import currently supports CSV, not XLS or API retrieval. Payment links are a separate integration scenario.
- Requires BUSINESS and appropriate profile, account, company and document permissions. Client-bank availability in SOLO does not unlock payment profiles.
- Automatic allocation uses known integration payments. Otherwise select the document or customer and contract manually; a masked card does not identify the customer.
- Enter the exact fee manually if absent from a WayForPay CSV. NovaPay registers use a payout date; applying it to payments requires confirmation.
- Refunds, chargebacks, reserves, additional deductions, currency conversion and partial settlement of a single payment are not processed automatically.
- Import does not issue fiscal receipts or determine tax recognition dates. Duplicate checks are scoped to the same import profile, not all accounting channels.
Common question
Does a bank payout create a second customer receipt?
No. After recording customer payments and fees on the provider account, reconcile the payout as a transfer to the bank. Review allocations and payout composition before posting.
